1. Introduction

Welcome to the US College Immersion Program ("the Program"). By accessing or using our services, you agree to comply with and be bound by the following terms and conditions. If you do not agree with these terms, please refrain from using our services.

2. Program Overview

The Program aims to simplify the process for international students to access and succeed in educational opportunities in the U.S., fostering academic growth and global connections. Our objectives include:

  • Organizing educational trips for students to explore U.S. campuses and opportunities.
  • Helping students explore possibilities and make informed decisions about their college careers.
  • Providing assistance with college applications and the application process.
  • Offering volunteer opportunities to enhance students’ experiences and support their academic growth.

3. Eligibility

  • Participation is open to students who meet the specific criteria outlined for each trip or service. Eligibility requirements may vary depending on the nature of the trip, academic level, and other factors.
  • Age requirements: Certain trips may have minimum or maximum age restrictions. Ensure you meet the specified age criteria for participation.
  • Non-discrimination: We do not discriminate based on race, gender, religion, national origin, or disability in our eligibility criteria. However, specific accessibility needs should be communicated during the application process.

4. Application Process

To participate in the Program, students must:

  • Complete the application process by submitting accurate personal information, academic records, and any other documents required by the Program.
  • Provide any requested reference letters or documents that may assist in the application review process.
  • Agree to background checks if required for certain activities or trips.
  • The Program reserves the right to reject incomplete or inaccurate applications.

5. Fees and Payments

  • All details regarding program fees, payment schedules, and refund policies will be communicated upon acceptance into the Program.
  • Payment deadlines must be strictly adhered to. Failure to make payments on time may result in withdrawal from the Program.
  • Participants are responsible for paying any additional costs not covered by the Program, such as personal expenses, meals, or optional activities.

6. Refund Policy

Refunds will be issued under the following conditions:

  • If a participant is denied a visa despite submitting a complete and valid application, they may request a refund minus a non-refundable administrative fee.
  • In case of trip cancellation by the Program due to unforeseen circumstances, participants will receive a full refund or the option to reschedule.
  • If a participant withdraws due to a medical emergency, a partial refund may be considered upon submission of verified medical documentation.
  • No refunds will be provided for voluntary withdrawals, misconduct, or failure to comply with travel requirements.
  • Refund requests must be submitted in writing within the specified timeframe, as communicated during the enrollment process. The decision to issue refunds is at the discretion of the Program.

7. Code of Conduct

  • Participants are expected to conduct themselves professionally, respectfully, and ethically at all times during Program activities.
  • Any disruptive behavior, failure to follow instructions, disrespect towards others, or actions that harm the reputation of the Program may result in immediate dismissal from the Program without refund.
  • The Program reserves the right to impose penalties, including but not limited to temporary suspension or expulsion, for violations of the code of conduct.

8. Travel and Liability for Minors

  • For minors (students under 18 years of age), parental/guardian consent is mandatory for participation. A signed consent form must be submitted before travel.
  • Parents/guardians are responsible for ensuring all required travel documents, including valid passports, visas, and any additional authorizations for minors traveling internationally, are in place before departure.
  • Participants are responsible for following all rules set by the Program, as well as local and international laws.
  • The Program is not liable for unforeseen travel disruptions, including but not limited to delays, natural disasters, political instability, or changes to entry requirements.
  • The Program is not responsible for lost or stolen personal belongings, nor does it cover personal expenses or damages.

9. Mandatory Travel and Medical Insurance

  • All participants must obtain comprehensive travel and medical insurance before departure. Insurance must cover:
    • Medical emergencies, hospitalization, doctor visits, and prescription medications in the U.S.
    • Trip cancellations, delays, lost baggage, and emergency evacuation.
    • The Program does not cover insurance expenses.
  • Participants are required to submit proof of insurance coverage before travel, and failure to do so may result in exclusion from the Program without refund.
  • The Program is not responsible for any costs arising from inadequate or missing insurance coverage.

10. Intellectual Property

  • All materials provided during the Program, including but not limited to educational content, itineraries, and resources, are the intellectual property of the Program and are protected by applicable laws.
  • Participants may not reproduce, distribute, or use these materials for commercial purposes without explicit permission from the Program.
  • All photography, video footage, and testimonials taken during Program activities are owned by the Program and may be used for promotional purposes unless participants provide prior notice to opt-out.

11. Limitation of Liability

  • The Program is not responsible for any personal injury, loss, or damage to personal property during participation.
  • The Program acts only as an organizer and does not own or operate airlines, hotels, or transport services. Any issues arising from these services must be resolved directly with the service providers.
  • Participants must comply with all local and international laws and regulations during travel.
  • The Program is not liable for any delays, cancellations, or changes in itinerary due to circumstances beyond its control, including but not limited to natural disasters, political unrest, or travel restrictions.
  • The Program is not responsible for any financial losses, emotional distress, or academic setbacks arising from participation.

12. Privacy Policy

  • We are committed to protecting your privacy. Personal information collected during the application and participation process will be used solely for Program purposes.
  • Information will not be shared with third parties without explicit consent, except where required by law or necessary for the execution of the Program (e.g., booking travel or processing insurance).
  • Participants may request access to their personal data and request modifications or deletions where applicable under applicable laws.

13. Amendments

  • The Program reserves the right to modify these terms and conditions at any time. Participants will be notified of any changes, and continued participation in the Program constitutes acceptance of the revised terms.
  • Any changes to these terms may be implemented with immediate effect, and participants will be informed prior to participation in the Program’s activities.

14. Force Majeure

  • The Program shall not be held responsible for failure or delay in performance of any obligations if such failure or delay is caused by unforeseen circumstances beyond the control of the Program, such as natural disasters, war, terrorism, strikes, or government restrictions.

15. Dispute Resolution and Governing Law

  • Any disputes arising from these terms and conditions or the Program itself will be resolved through informal negotiation, followed by mediation, and if necessary, binding arbitration.
  • The laws of India govern these terms and conditions, and any legal actions will be initiated in the jurisdiction of the Program's headquarters.
